Exporting Data to Send to Students, Parents, and Employers

Students, parents and employers will need to log-in to their specific portals.  To do this they will need to be told the correct information…

You are able to print off the Letters for Parents / Employers and Students with the relevant IDs included - these can be found on the Login & Details page.

You will probably do this by bulk sending email or SMS messages and will need to do this via your own in-house information system (SIMS, Arbor, Edulink, etc.) and you will need to match our data with the data you already store.  It is for this reason that we request each student's UPN because it is extremely useful for performing this 'match'.

If you would like to load our data into a Microsoft Excel Spreadsheet then please folow the instructions below because Excel mis-interprets students' passcodes.

  1. Click the 'More' > 'Logins & Details' tab at the top of the page to view all the students' details.
  2. Click the 'Export' > 'Export CSV' buttons at the top of the list; this will save a file in your 'Downloads' folder.
  3. Click your applications menu (bottom-left of your screen) to open Microsoft Excel.
  4. In Excel's menu click 'Data'.
  5. In the ribbon bar that appears below the menu, click 'From Text/CSV'.
  6. In the file opener that appears, locate the file you exported in step 2 (it's probably in your 'Downloads' folder).
  7. In the window that appears, click 'Load' in the bottom-right.

You should now have a complete spreadsheet will all the correct data for each student and passcodes should be intact.

Sorting

When viewing lists your can sort that list simply by clicking the appropriate column-heading (the text, not the grey part).  Clicking once more on the column-heading will sort the records in the reverse direction.

Filtering

  • General Filtering:  To make a quick search for a word or number simply type in the search box at the top-left of the list and click the 'Search' button.  This will list any record that contains your word/number anywhere within it.  To remove the filter simply delete your search word/number and click the 'Search' button again.
  • Progressive Specific Filtering  You can search for specific word/numbers in specific columns simply by clicking on any column-header (the grey part, not the column-heading text) and either hitting the enter key or clicking the small magnifying glass icon.
  • Very Specific Filtering:  You can specify which records you would like to view/print by clicking 'Advanced Search' at the top of the list.  To view all records once more simply click 'Advanced Search' again, then 'Clear', then 'Search'.

Viewing/Editing Details

To view or edit the details of a record simply click on it.
In the interests of simplicity and security many items of data cannot be edited.

Job Descriptions

Job descriptions can be viewed by clicking the 'Job Description' button; they can be printed in the same you would normally print any webpage.

Missing or Incorrect Data

If you suspect that data is missing or incorrect please contact your representative at Our Futures, they will be able to investigate and correct the matter.

Printing Visit Lists (Quick & Simple)

The quickest way to achieve this is to print the list of placements in postcode order so that teachers can visit all the businesses in a specific area.

  1. Click the 'Confirmed' tab (top of the page) to view all the confirmed allocations.
  2. Click the 'Postcode' text in the column heading; this sorts all the records in postcode order.
  3. Click the 'Visit List' button to generate a tabular report.
  4. Use your web broswer's print facility to generate a pdf or send it directly to a printer.
  5. Distribute the lists to teachers as you see fit.

Printing Visit Lists (Longer & More Flexible)

You can also print your teacher visit list in your own way via an Excel spreadsheet…

  1. Click the 'Confirmed' tab (top of the page) to view all the confirmed allocations.
  2. Click the 'Export' button above the list of placements.
  3. If you select the 'Export CSV' option you can save the list of confirmed placements wherever you like on your computer.
  4. You can now log-out of WebWex if you wish.
  5. This 'CSV' (Comma Separated Variable) file can then be opened by any spreadsheet software for you to sort, filter, and/or decorate however you prefer.
  6. Distribute the lists to teachers as you see fit.
